MINUTES OF THE MEETING OF THE BOARD OF DIRECTORS OF WEST HAYDEN ISLAND MOORAGE OWNERS ASSOCIATION

 TIME & PLACE:  7:00 PM on Thursday, January 2, 2014 at the Moorage Office (C-7) located at 2630 N. Hayden Island Drive, Portland, Oregon, 97217

 Board Members Present:

• Call to Order
  • The President called the meeting to order at 19:00 and determined there was a quorum with all five members present.

• Reading & Approval of the Minutes of Previous Meeting

• The Secretary had e-mailed minutes from the previous meeting.

• Motioned, seconded and passed unanimously to approve the previous Board Meeting minutes.

• Treasurer’s Report
  • Dues: All dues are current.
  • December Water: At $5,431.68, MTD 146.8% of budget and YTD 125.6%.
  • November Landscaping (Paid in Dec.): At $2442.50, MTD 162.8% of budget and YTD 102.1%.
  • November Property Tax Expense : $42,767.90, YTD  105.3% of budget.
  • Cash reserves: $422,473.88 with Schwab.
    • Cash Balance is $142,472.81
    • Increased operating expenses by $16,058.64 to cover total 2013 expenses
    • Decreased Reserves by same amount.
  • Full Financial report is filled with Minutes.
  • 2014 Budget is also filled with mMinutes.
  • Dues will not be increased.
  • Motioned, seconded and passed unanimously to accept this Treasurer’s Report.

• Old Business:  Standing Committee Reports

• Facilities & Grounds

§  Pump Station

·         Wibbing will clean pump station, do pump rebuild for $3310 from reserves expense

·         Guide rails will be replaced in future but will be done in stainless steel.

·         Moved, Seconded & passed

§  Garage Floors – Will ask for inputs to get what floors are bad & determine who wants work done.

§  Approved repairs to West gazebo.

§  Jory is leaving on Mon (Snowbirding).

§  Carl Coffman(3), Dave Hoselitz(55), Mike Zimmer(51) will cover F&G Issues

§  Gerry Abrams reported a broken pipe on Sprinkler at West gazebo is scheduled for repair – info only in case other members notice it & report it.

 o   Fire, Security And Safety

§  Cars running Stop sign

·         First email everyone warning that a speed bump may be next.

§  Overflow Parking

·         Discussed issues during events (4^th of July, Christmas Ships, Etc.)

·         Suggestion to place “No Parking” signs during events

·         Nancy will talk to HIBP to get parking permission

§  Parking Stickers

·         Price $410 per 1000

·         Oval, Numbered, Static attached, 2”x1.5”

• Architectural Review
  • 30 has promised to take care of boat in disrepair (Sec. Note:  Boat has been moved into a boat garage.).
